Hi Nextcloud community! 👋

as we are announcing Nextcloud Hub 8 here at the Nextcloud Enterprise Day in Munich, our customers and partners are presenting their own and unique use of Nextcloud. Tens of millions of users trust Nextcloud to protect their data.

These include private users, running their own Nextcloud, or using a hosted solution from the likes of América Móvil or Deutsche Telekom. Businesses, keeping data on their own servers or hosting at one of our official partners. And the public sector, with universities, cities, governments and international organizations like Amnesty International using Nextcloud to stay safe. They maintain their own servers or host with partners like Bechtle that offers tender-free Nextcloud for the public sector in Germany.

We build Nextcloud to give you control over your data. In terms of who has access, but also what. Our world is digital, and AI is digging through all its data. It can use that for good – create fun meme, summarize your mails or help medical research. But should it operate heavy machinery or be used in the courts or HR departments?

While society finds its way through these dystopian questions, we make sure you have control. Different options, plus transparency over what AI does and how helps you make informed choices. That aligns with our core values of transparency, community and collaboration.

This release introduces many abilities specifically for the public sector. Some of those are AI related, developed together with public sector partners like the German state of Schleswig-Holstein, presenting here today. Others tick off important requirements like our new European accessibility certification, improved scalability or federated chat. But all of these benefit every Nextcloud user, at home, in an office or working in a cafe somewhere!

Ask Assistant about your own assets 🕵

Hub 8 enables Nextcloud Assistant’s new context awareness features. One of them is Context Chat, a smart chat bot that can access your data and answer questions about your documentation, contracts, papers, reports or anything else. You can manually define the scope and even limit it to a specific folder or file for more precision.

And it’s not limited to Files: we developed an API that allows Assistant to look into Mail, Calendar, Talk, Deck and other apps to fetch info about important meetings, tasks received via emails and chats, and any other data from those apps. Over the coming weeks and months, we are going to gradually implement the Context Chat API across the Hub ecosystem, making Context Chat ever smarter.

Texts written your way with Context Write 📝

Context Write is another new feature of Nextcloud Assistant powered by context awareness. It can derive context from existing files to convey their unique tone, wording, and even structure to create new texts with the data you provide. Tell the Assistant about your working experience and give it a nice CV file, and it will create a custom CV for you. Share meeting notes and ask it to write a formal report similar to your reference – done!

Generate Mail replies and automate events in Calendar 💌

With Hub 8, we add more Assistant features to Groupware tools. Get reply suggestions based on your conversation history in Mail. Create Calendar events from emails without leaving the Mail app, automatically generate event titles and descriptions, and even an agenda. Go ahead – take an extra coffee break!

Chat summaries in Talk 🍡

Summarization of team meetings and spontaneous brainstorms in Talk chats makes it easy to get a refresher on previous discussions. The new AI Talk bot can recap your conversations, describe the discussed topics and define tasks based on chat activity. Give it a preferred time to deliver the summary, and it will send it in the chat when scheduled.

Prompt history and even more tools in Assistant 🛠

Assistant 2.0 gives you even more control. Access prompt history when you need to reuse your past prompts, and ask the Assistant to stop unfinished tasks if no longer needed. We also gave even more functionality to the Assistant, adding built-in image generation and speech to text features.

Synchronous tasks in Text ⏩

Text now supports running Nextcloud Assistant tasks in a synchronous way. If your AI provider is able to return the results fast enough, the Assistant can deliver them in the window right away. If it takes longer, you can choose to run the job on the background and get notified once it’s done.

Deploying AI

For these AI features to work smoothly, you will need some serious hardware. This unfortunately will not be a fun experience on your Raspberry Pi. But! Luckily, a number of businesses have started to provide AI-as-a-Service, running various open source models that Nextcloud supports in a way that you can connect to remotely. While this is great, unfortunately nearly all these companies are American-based, with a few in China. If you live in the USA, that is of course perfect – the data stays in your jurisdiction, and you have a choice of local providers. But for our users in Europe, this is less than ideal. The US jurisdiction unfortunately treats the data of European users with less than ideal respect for privacy, in no small part thanks to the CLOUD act signed into law by the former US president Donald Trump.

we have been working closely with several major European hosting companies including IONOS, OVHcloud and plusserver to integrate their upcoming AI-as-a-Service solutions. This will make them available to Nextcloud customers and users who wish to take advantage of the advanced AI functionalities in Nextcloud Hub but don’t wish to host AI services themselves.

Edit meeting notes in a Talk chat while video conferencing, scroll through a project Deck board on a Collectives page, or add a whole interactive calendar to your planning file in Text — you name it. With interactive widgets in Hub, you can quite literally embed one app into another.

Using widgets, you and other users with access can view the linked file contents and make edits without leaving the app. To prevent accidental edits, file widgets in Talk open in view-only mode by default.

Link forms to spreadsheets to automatically submit collected data to ODS, XLSX, or CSV files. Re-export, create new sheet copies and edit the linked sheets to add more columns with comments, statuses and any other data you need.

New features in spreadsheets aim to boost security and integrity of your spreadsheets and greatly improve overall usability. Cell protection allows preventing unwanted changes in selected cells, intentional or not, and managing individual permissions for cells. When typing a function name, a tooltip will show you relevant functions to assist you in search. Filtering has been improved with the AutoFilter feature and new filtering options like Color and Condition.

Documents: layout improvements, better navigation and change tracking

Keep the layout of your documents neat with dedicated section editing, separate headers and footers for pages under one style, and support for STYLEREF fields. Browsing tracked changes is now easier thanks to popover tooltips and improved change highlights in tables.

It’s now easier to follow and unfollow users in your documents, spreadsheets and presentations. The currently followed user is directly visible, so you always know whom you are following. Unfollowing became more convenient too: just click on the list to resume independent browsing.

Import tables from external files using the upload feature or from the right click menu from the Files app. We improved file parsing to automatically detect more items from CSV and spreadsheet files, such as dates, percentage, currency and decimals.

One-time links and QR-codes 🔗

Sharing is even more secure now with one-time download links. When you wish to share a download with a single user and don’t want the link passed around, check the corresponding box in the link settings. What’s more, now you can generate QR-codes on the spot to share links with ease on web pages, slides, printed materials, and more.

Pictures where you want them 🗂

In Hub 8, we added one of the most anticipated features for the Photos app: a dedicated Media folder for all your pictures. Your space no longer shows those annoying memes your colleague keeps sending over, and instead displays photos from the chosen folder. Previews also run smoothly now with ‘blur hash’ so you can scroll through your library more quickly.

Federated Hub becomes even more united. Now users from all teams can create group chats across federated Talk instances and use many Talk features like mentions, polls, and chat notifications. And even more to come in the future!

For federated chatting, we use the open standard Open Cloud Mesh (OCM) developed at CERN with the help of Nextcloud and other open source projects. The same standard is in use for federated file sharing. In the future, we are planning to expand this into federated Calendar sharing and other features.

Now you can drag the speaker video to pick the best position to fit shared screen content. Current speaker is highlighted in the list for more visibility during large group calls. Call UI is greatly improved: access chat descriptions and post polls during calls, navigate chat messages without interruptions, and more.

In Nextcloud Mail, you can view the free/busy times of attendees to arrange the best time for your meeting. What if the time slot you picked doesn’t work for everybody? In Hub 8, Calendar automatically suggests the next suitable time slot on their availability and let’s you adjust the event in one click.

What’s more, in the redesigned availability window you can quickly manage the event: change the event time or add and remove the attendees.

VFS support in macOS app

With Hub 8, we are releasing a new client for macOS that has support for the Virtual File System (VFS). The new sync engine adds more agility to file browsing, presenting all of the files available on the server without downloading them and taking extra disk space. These files will only be downloaded when you need to interact with them.

Easier app updates on Windows

Great news for our Windows users: new versions of the desktop client can now be installed without user intervention in most cases, making the update process smooth without disrupting your work.

MDM in the Android app

Enterprise customers will be glad to read that the Android app now has Mobile Device Management (MDM) integrated. The feature allows you to manage the mobile devices connected to your Nextcloud and therefore greatly improve security controls.

BITV 2.0 certified Nextcloud Enterprise ✅

Nextcloud Enterprise has been awarded a German BITV 2.0 certification that is based on WCAG 2.0 benchmark. This means that the enterprise and public sector users can be confident in the accessibility standards of Nextcloud.

The platform is designed with all users’ needs in mind, suitable for people with limitations and requirements for non-standard input devices and additional measures like a screen reader.

Our work done to obtain this certification shows our commitment to offer barrier-free technology to everyone. Customers who require the certification should contact their sales representative.

Nextcloud Hub 8 Performance keynote by Jos Poortvliet

With this release, we started working on the Database Sharding which lets you split Nextcloud database into several smaller databases and to distribute it among a few smaller servers. The basis for Database Sharding is already here, and we are planning to work on it moving forward to bring the opportunity to our users.

Another noteworthy improvement is in continuous work on the Read-After-Write behavior. Current architecture requires synchronous replication, which reduces the number of database cluster nodes to 4. In the future, we will support an unlimited number of Read nodes that are using asynchronous replication.

These efforts in boosting Nextcloud performance will allow us to accommodate up to 10x more users within a single cluster, moving the scalability of Nextcloud to a whole new level.

This, and numerous smaller but meaningful updates in the frontend make the Nextcloud experience much smoother, not only tackling the challenges of the large setups but also improving the performance for every user. After all, it’s all about giving you more time, achieved with scrutiny of every detail.

You can download Nextcloud Hub 8 from our installation page. Among available options, you can use a zip file or the all-in-one image for fresh installation.

Over the coming weeks, we will make it available to our home users via updater using the usual staged roll-out process. You can switch to the beta channel temporarily if you want to try the new Hub right away. Don’t forget to switch back to stable after you’ve updated to Hub 8!

Note: Nextcloud caches the results coming from our updater server, so it can take some time for the new version to show up and you likely have to refresh the page, wait a bit, then try again.

How to update: AIO users

For new Nextcloud All-in-One (AIO) users, you can install Hub 8 directly by checking the “Install Nextcloud 29” box.

Today, we bring you a major update to the Nextcloud AI Assistant with Context Chat, Context Write, GPU acceleration, the ability to split off the Nextcloud server & AI server, and MUCH more! And for those without $100K GPU’s (you know who you are), we have also incredible news: we are working with several prominent European hosting companies, including IONOS, OVHcloud and plusserver to deliver AI-as-a-Service solutions that respect your privacy and digital sovereignty! For our US users and customers, there are already several companies offering AI-as-a-Service and some we support (OpenAI in particular) while others are in the works.

Introducing Assistant 2.0

With a nearly complete overhaul of the user interface AND how our AI Assistant works on the back-end, plus a ton of new, big features, we decided that this is the moment to call this the Assistant 2.0. Let’s go over what’s new, but first a short summary of where we are today!

Nextcloud has a ton of AI features, some big and elaborate, others more basic. Some train a neural network on your data, on your own server to give you a smart inbox in Mail or warnings about unexpected logins from Suspicious Login Detection. Others rely on a pre-trained network that can recognize faces and objects in photos, generate a transcript of your video call or modify text. We can also generate images, translate text and chat messages, and much more. Many of the features are accessible through our easy to use Nextcloud Assistant interface!

Many of these features can help you, save you time, or improve your productivity. And best of all: as always we focus on making all these services available of running on your own server. Given even the US Congress doesn’t trust ChatGPT or Microsoft CoPilot, there are good reasons to want control over the data send to and from an AI service! Our Ethical AI Rating system provides you transparency about the AI used to generate your text, image or classify your photos:

  • Is it open source? Can I study how it works and re-train or optimize the model for my needs?
  • Is the model freely available? Can I run it on my own server?
  • Is the training data open and available so I can inspect it for issues and re-train or optimize the model?

Context Chat and Context Write

And now, let’s explore what’s new: The two biggest new features are Context Write and Context Chat. These both share a lot in common, both providing AI-assisted outputs for you, but they’re also distinctly different.

Context Chat, in short, is the ability for the Assistant to answer questions about your data. You can ask the Assistant questions about a document you have: Say, you have a PDF with the manual of your new digital watch… you’ll be able to ask the Assistant how to set it up, or how to replace the battery. And if your company has a nicely documented reimbursement process in its documentation in Collectives, you can ask the Assistant questions about this process. This is an absolutely amazing ability!

It is not just limited to your files either: we developed an API so apps like Mail, Calendar, Talk and Deck can make their data available too. You’ll then be able to ask “When do I have my next meeting with my boss?” (from the Calendar) and “What tasks did she ask me to work on as high priority this week?” (from Mail). Or “Give me a summary of the status of project X.” (Deck + chat perhaps?)

Context Write, on the other hand, lets the Assistant rewrite something in a certain requested context, or style. Say, you have a nice poem and want to write another in that same particular style. By providing the original poem, then new text of what you want to say, the Assistant will then create a masterpiece. But you can also give it a form, give it your data, and ask it to provide the text you would need to fill in the form. Impressive, and useful!

Big user interface overhaul

Over the last year and a half, we have introduced a wide range of AI features in Nextcloud. Translation, transcription of audio, text and image generation, and more. Then the Nextcloud Assistant came – and we’ve now integrated most of our AI features into the Assistant itself, all available from a unified interface. It is no longer limited to text, but can also generate images and transcribe audio.

Another improvement many of you will appreciate is that you can now see a history, a list of earlier generated images, text or audio transcripts in the Assistant interface. You can even go back and generate more based on your earlier prompts. It is now also possible to cancel a running operation, if desired.

Lastly, as possible inputs to the Assistant you can paste or type text or record audio, and now… select one or more documents as input too!

Behind the scenes

We also did significant work behind the scenes. We made it possible for administrators to make use of AI models we’ve not yet explicitly integrated into Nextcloud, giving more flexibility and versatility to your choice of models to use.

Especially for larger deployments, we have made it possible to run the LLM and other AI operations like Transcription and Context Chat on a separate server, using our new external app ecosystem for one-click, Docker-based deployments. You can also now use a GPU for text generation, transcription and context chat. This means transcribing an hour-long audio file could, on a CPU, take many minutes while taking only seconds on a GPU!

More coming soon

And, of course, this is not all. We have developed an API which can be used by apps like Deck, Calendar or Mail to support Context Chat. This will allow the Assistant to answer questions about your mail, tasks or upcoming appointments! We look forward to these and other apps implementing support for this feature.

Nextcloud Hub 8 – our next version out very soon – will also feature two more app integrations of the Assistant: First, Nextcloud Talk will be able to show you summaries of conversation in Talk rooms, and Nextcloud Mail will introduce email ‘suggested answers’! If you haven’t yet registered for our Nextcloud Hub 8 Launch Event on April 24, this is the time to do so to find out more!

How to get it

So now, you ask: When can I get it? We have good news! Nearly all these features have been backported to Nextcloud Hub 7, meaning they are available in the Nextcloud app store right now. All you need to do is update. If you have not yet tried out the assistant, perhaps this is the time to do it!

To run the AI locally, it’s easiest to use LocalAI. A community container exists for our All-in-one, so users of the AIO can simply go to this page to learn more about adding extra containers and then enable the LocalAI container. Be sure to check out our documentation and ask questions in the forums – you could just start below this post!

IONOS, OVHcloud, plusserver and others bring you…

This brings us to the final piece of the puzzle: For these AI features to work smoothly, you will need some serious hardware. This unfortunately will not be a fun experience on your Raspberry Pi. But! Luckily, a number of businesses have started to provide AI-as-a-Service, running various open source models that Nextcloud supports in a way that you can connect to remotely. While this is great, unfortunately nearly all these companies are American-based, with a few in China. If you live in the USA, that is of course perfect – the data stays in your jurisdiction, and you have a choice of local providers. But for our users in Europe, this is less than ideal. The US jurisdiction unfortunately treats the data of European users with less than ideal respect for privacy, in no small part thanks to the CLOUD act signed into law by the former US president Donald Trump.

But today, we announce that we have been working closely with several major European hosting companies including IONOS, OVHcloud and plusserver to integrate their upcoming AI-as-a-Service solutions. This will make them available to Nextcloud customers and users who wish to take advantage of the advanced AI functionalities in Nextcloud Hub but don’t wish to host AI services themselves. Several Nextcloud customers have expressed interest in these features and are preparing to or in the process of testing them. Here’s what our partners and customers have to say:

US technology firms have a large head start on European companies offering large language models and other AI services to smaller firms and end customers. There is a significant number of offerings either using their own models like OpenAI, or providing one or a choice of open models like Llama, Gemma or Mistral as a service. In Europe, Mistral and Aleph Alpha are still working on offering their own models while only a few large hosting providers are looking to offer various open LLM’s in an AI-as-a-service model.

At the same time, there is a growing demand from our customers and users for European AI services. Running AI locally is expensive, and AI-as-a-Service from foreign tech firms is not a solution for most Nextcloud customers in Europe, given the privacy and sovereignty risks inherent to shipping large amounts of crucial data overseas. For this reason, we have been working with a handful of providers to offer their AI services. To speed up the process, we connected them with potential customers. As you can imagine, offering a service when it is unclear who its customers might be is not easy. But several universities are interested in the ability to outsource some heavy AI operations, so there is now movement towards AI services. This means not only our users, but the wider European ecosystem will be able to benefit from this!

Public availability of the European AI services is expected in the course of spring and summer, with some even aiming for late April/early May!

Hello everybody 👋

This year is nearly over and the last months have been busy! Our community, Nextcloud and Frank have been recognized for their accomplishments by the European Software Freedom award and, just last week, the Acteurs du Libre award. Meanwhile, our team keeps growing quickly; the company is on track to grow its customer base by over 60% with more than 5 million new users getting access to Nextcloud this year!

Though this isn’t all the news! Our yearly Nextcloud Conference was a great success and we just published a podcast interview with one of its keynote speakers: privacy lawyer Max Schrems.

In other really big news, open source email giant Roundcube also joined our wonderful Nextcloud community!

Today, we’re introducing our most integrated platform yet – Nextcloud Hub 7. Imagine your work space interconnected, with your files seamlessly accessible in Talk, your calendars integrated in Mail and your tasks visible in your Calendar.

The out-of-office message that everybody catches

Embark on your next vacation – stress free. Set a out-of-office status that will pop up around Hub, letting everybody know you are away and who to contact instead. Configurable in the “Availability” section of your personal settings, your absence status will automatically be updated throughout the platform, with an auto-responder in Mail and a dedicated calendar event for your selected dates.

Use a short, custom message to notify everybody about your absence. It will work as a status message for your account visible everywhere under your name: user search results, profile, contact list, and more. Add an emoji to give it a personal visual twist! 👍

Depending on your setup, the processing time varies. What’s coming next? Context Chat 🧠

Our collaboration with the German state of Schleswig-Holstein is starting to deliver its first results. Today, we are releasing a tech preview of a powerful feature for the Nextcloud Assistant: Context Chat. This feature allows the Nextcloud assistant to refer to your emails, files, chat messages and more to answer your questions about these items. It allows you to query your own data, to present your personal and organizational context to an AI model and have it help you gain personalized, unique insights that are completely private, never sent to a third party unless you so choose. Storing the data in a local vector database, Context Chat works with most available large language models, both those you can self-host and some remote options.

Live Photo support on iOS

Want to save your Live Photos on your Nextcloud? Now it’s possible to upload and save live photos from your iPhone to Nextcloud, and view them in the Photos app. To enable this feature, just go to Settings → Advanced and select the “Live Photo” option. From there, you can upload any photo as normal and a live photo will appear with a special eye icon. The Live Photos can be seen on the Photos app where you’ll see a Play button in the photo.

Introducing EXIF metadata support

The Photos app now displays where and when your pictures were taken, if that data is available in its metadata. The EXIF metadata associated with each picture also contains information about photographs like the camera settings, time and date, and location, which we can show:

  • The time and date the photo was taken
  • A map of where the photo was taken (using OpenStreetMap)
  • Information about the camera used i.e. type of camera and other technical details

In addition, your photos will be sorted according to the date each photo was taken, not when the Nextcloud file was created. This is especially helpful when you want to find a photo and can only remember when you took it. You can find your EXIF data once you’ve opened a photo and go to the sidebar under the tab “details.”

Let’s explore what’s new in Nextcloud Files, where your documents, videos and photos live. Nextcloud Files is a powerful document management system, making it easy to access, share and work with your documents wherever you are.

Files – now backed by Vue.js

The Nextcloud Files app has been rewritten, thereby migrating to Vue.js, a popular, modern web toolkit packed with possibilities. This brings a number of performance benefits you’ll appreciate:

  • The code is more modular, requiring less javascript to be loaded. That means faster loading times. The devs saw the Files app loading about 65% faster!
  • Preview loading and caching was improved and large folders also render a lot faster.
  • A more accurate progress indicator with more information when uploading files, with also improved error handling
  • We can more easily add integrations with other apps, again requiring less code to be loaded

A ton of small improvements all over the place was done, from little animations when you drag and drop files to tons of accessibility improvements that should help users who rely on a screen reader or keyboard control. A few examples:

  • Support more actions with selections (add to favorites, restore from trashbin…)
  • Better selection handling (shift + select to select range)
  • Better error handling (if you have a selection and some actions fails, the failures will stay selected and the error message will tell you that some files had an error)
  • New tags view
  • Grid view support in all views (favorites, trash, recent etc)
  • Unified design across all views
  • Support remembering files settings per view (like sorting)
  • Improved dark mode

Our goal was to make Files easier to maintain but keep the same user experience you know and love. So, while you won’t immediately notice a big change, we hope you’ll appreciate all the little touches!

For developers, the improved documentation should also help add things like file actions for example.

Annotate your PDF!

Special in this release is PDF annotation support! Thanks to one of our amazing community members, it’s now possible to fill out a form or draw directly on a PDF right in your Nextcloud.

The next time you need to annotate a PDF, enable the freehand drawing feature or use text boxes to add information. Once it’s complete, you can save the updated PDF to your Nextcloud.

Customize your navigation bar

When you login to your Nextcloud, is your dashboard the first stop for you? Would you prefer Talk, Calendar or Files? With our new app order configuration, you can decide which app is the default when you login and when you click on the Nextcloud logo. You can also order the apps to have your most used apps to the left. Admins can also set some key apps in this order to ensure the experience is consistent across the server.

You can customize the order of your applications in the main navigation bar so you have your most used apps first.

Just click on your profile icon in the top right corner of your Nextcloud and select “Appearance and accessibility” for the navigation bar settings. You can easily move your apps with up and down arrows or drag and drop to find the perfect order for all your apps.

One of Nextcloud’s most unique features in Files is the sidebar where you can see any activity on the document – like when and who did the last edit, any comments about the file, internal and external sharing options, and a tab for all the files versions. In the Hub 7 release, we decided to merge the “activity” and “comments” tabs so it’s easy to see both.

QR code generation 🔆

One of the simplest ways to share a survey or landing page is through a QR code. QR codes can be easily scanned on the go and are hassle free for most audiences. So, next time you’re planning an event or simply need to share the wifi password in your office – you can create a QR code directly in your Nextcloud Office document. Simply go to “Insert” and click “QR and Barcode” where a pop-up window will allow you to add a link and generate a QR or barcode link, as well as add other details.

Conditional formatting in spreadsheets 📊

Need to visualize a ton of data? Want to throw in some colors? Now in spreadsheets, you can select a single cell or range of cells of data and pair it with a color scheme to showcase your data more vibrantly and uniform. The conditional formatting feature is basically a way to adjust the style of a cell or range of cells based on its value. For example, if you have accounting data, easily visualize the ebs and flows of your expenses and profits by color. The conditional formatting feature is available through quick access menu in the menu bar with various presets to pick from.

Share your notes 📓

We often brainstorm ideas individually and drop them in our notes for a quick fix. But what if you want to share those brilliant thoughts and ideas with a colleague or friend? You can now share of one of your notes in the media tab on the right hand side of your notes. Share with a colleague or with somebody externally through a link just like you do in Nextcloud Files. You can even work together on the note!

Besides, now you have access to activity and versions in Notes directly from the sidebar.

Improved re-connection experience 🔄

It can be frustrating when you’re working on a document and have connection issues. Sometimes you’re traveling on a train and lose connection or you take a break from your laptop with a document still open and come back to it having to re-load it. With this release, we’ve made significant improvements to providing you a better re-connection experience. This will allow you to get straight back to work without having to re-load your document with any further delay.

Accessibility improvements 💫

We take accessibility seriously. Our goal is that everyone can enjoy the benefits of Nextcloud! For this release, we worked on much improved support for screen readers. This means more accurate reading of documents and access. Second, new keyboard shortcuts have been added that show up in yellow for easy access. Click on ALT to get hints for navigating though the menu with the keyboard.

Teamwork in Hub is as efficient as ever with the new Groupware features. Those include both platform-wide improvements and app-specific ones.

New in Contacts: Automatic “Busy” status and shared items

User profiles in contacts now display the items that you share with the contact — owned both by them and by you. Those include files, Calendar events, Talk rooms, and Deck cards. Quickly jump to any item by simply clicking on it.

User status also gets more automation and visibility. From now on, it is visible in the Contacts menu right away instead of the email. Statuses automatically change to “Busy” when a busy calendar event starts. If you have an absence period configured for a certain period of time, your status symbol and text will align with the out-of-office message you added.

Nextcloud Mail - search body settings

Enable search in the body of Priority inbox emails to find everything you need in your communication history, even if it’s not mentioned in the title. Open Mail settings and tick the corresponding box on the very top to set up the feature. Quick search will include email body results as well as the title results.

This feature is not enabled by default as it sends the search request to your email server – and some can unfortunately be quite slow to respond.

Need to sort your emails from oldest to newest for quicker access to older correspondence? With the new sorting setting, you can switch between two sorting modes to fine-tune your search results. Find the switch in the Mail settings on the top left of the Mail app interface.

Improved tag management 🏷

Edit tag colors to visually categorize emails by your personal preference. Feel safe from accidental clicks: if you attempt to delete a tag, you will see a pop-up letting you know that it will disappear across the whole mailbox.

Smart picker and emoji picker 🤓

Create rich emails without leaving the message editor. Now you can use the Smart Picker feature and add emojis to your mails, just like you do in Text. To summon Smart Picker, just type “/” and choose from available options to insert: Talk rooms, Deck cards, Calendar events, GIFs, Files, Collectives pages, and much more. Start typing “:” to add an emoji — add an option from recent emojis or continue typing the full emoji name to find the one you need.

Card images, Completed status, and keyboard shortcuts: working with tasks in Deck becomes muck more intuitive and informative. Besides, we polished the card design to make them more compact and less distractive.

Deck boards have just become richer with cover images! An image will be picked automatically from the first image attached to the card. If there are no images, add one and it will be used as a cover without any need to put it in the description text. Enable cover images in Deck’s display settings on the top right.

You can also now mark cards as “Completed” to let yourself and others know that the work is done. When there’s a due date set for the card, it will keep you stress-free and your task planning transparent. You can then add the completed cards to archive if you wish to keep your board clean.

In Deck, we also introduced keyboard shortcuts to helping you perform quick actions with cards and boards. To use a shortcut for a card, hover your mouse over it. To use board shortcuts, you only need the board page to be active.

Talk meetings and chats became much more alive and capable. We added many popular features based on user requests: from recording consent and ability to call phone numbers, to screen sharing speaker picture-in-picture and file captions.

Personal connection is always there during the stream with a speaker picture-in-picture present on the screen even when screen sharing. Once your video is on, participants will be able to see you while you are showing your screen or running a slide show.

Recording consent 🤝

Recording consent for a meeting is a nice gesture to your guests’ privacy, but often it is also necessary to comply with your and their company regulations. Now you can request recording consent for your meetings, streams and online events to help everyone feel safe and secure.

Configure it in the conversation settings to apply the rule for all meetings in the current room. Participants will not be able to join the call unless they grant their consent via the pop-up window whether the call is currently being recorded or not. An administrator can export a list of people that consented with the recording from the command line.

Upon starting a call, you can enable the recording right away.

Invite to calls via phone number 📞

Talk dial in

Now you can let everybody participate in Talk calls even without a camera, browser or even internet connection. Call one or multiple phone numbers right from the Talk room using Telephone dial-out.

This adds to the existing dial-in feature, where people can dial a specific phone number to join a Talk room.

You remain in full control to save money and keep your meeting organized. You can add users to the room using their mobile numbers, hang up or mute them during the call. The feature can be restricted to selected user groups to keep the costs under control.

The telephone dial-out and dial-in features requires an enterprise SIP setup.

Guest names in meetings 🤳

Avoid awkwardness and the struggle to find call participants with custom guest names during large calls and webinars. Talk now asks external users to give a name before joining so everybody in the room knows who is who.

When a meeting including you starts in Talk, you will get a direct call link in the Notifications, so you can join immediately without navigating rooms and buttons. Stress-free communication is what we designed Talk for!

Note to self 📝

The new “Note to self” chat in Talk is your personal safe space in Talk. Use it as a diary or a place to store links and assets, or forward important messages from colleagues to quickly find them later. What’s more, you can add bots, change the avatar and pick a new name, just like in any other Talk room.

File captions 🔠

Talk file description

Sharing files in chats is more convenient with file captions. When uploading media, you can write a message describing what it is or what tasks are associated with it. It works the same with text messages — add a file while writing and it will be attached to the message.

Nextcloud’s momentum continues strongly after last weekend’s announcement of the first private AI assistant embedded in its collaboration platform, with a first significant partnership announcement. As covered in the prominent German public sector-focused Tagesspiegel newsletter, Minister of Digitisation and Head of the State Chancellery Dirk Schrödter, and Nextcloud Founder and CEO Frank Karlitschek shook hands last Tuesday, on a collaboration to build digitally sovereign AI. As part of the AI strategy of the German state, the collaboration will create a generative language model for the state administration that is adapted to the specifics of administrative texts.

Opportunities and risks around AI

As Margrethe Vestager aptly remarked, “With artificial intelligence, trust is a must, not a nice-to-have.” The evaluation of AI should focus not only on its technology but also on its societal and environmental benefits.

The public sector across the EU faces questions around AI with regard to digital sovereignty and data leaks. The latest technologies enable AI’s to access troves of documents and then answer questions from them or generate content out of them. These functions would allow great advances in the speed of handling bureaucratic processes, but current solutions require large swaths of data to be handed over to third-party AI providers. This creates unacceptable risks for the digital sovereignty and security of government data. A digitally sovereign AI is needed.

AI strategy and Nextcloud at Schleswig-Holstein

The German state of Schleswig-Holstein has made a strategic bet on Nextcloud’s on-premises content collaboration platform as part of its focus on digital sovereignty. The latest developments by Nextcloud in the area of ethical AI align strongly with the state’s commitment to digitization of its services. As one of the most innovative states in Germany, it is aiming to dramatically accelerate its bureaucratic processes so that, for example, the approval process for wind turbines or other economic developments can move forward much faster.

In the future, we will make AI services available to colleagues in the state administration directly at the workplace. We want to drive the development of digitally sovereign and open solutions in addition to the use of existing AI services such as ChatGPT. Because, the administration of the future will work in an automated, algortihmized, cloudified and data-based way. To make this vision of the future a reality, we must provide the appropriate tools. This also creates value and jobs in our domestic digital economy.

The plans: digitally sovereign AI

As the Minister points out, AI systems like ChatGPT are already integrated in Nextcloud and used at the state. For some limited use cases, these can be useful.

But Nextcloud has also integrated several open source large language models that can be run locally. These were released as part of Hub 6 last weekend, providing an integrated, private AI Assistant that can summarize, translate, or reword texts, summarize email threads, transcribe video calls, create project plans and so on. Hundreds of organizations in the private and public sectors are expected to deploy these in the coming months.

The next step for Nextcloud will be to develop large language models that can help in specific domains. This way, the Nextcloud AI Assistant will be able to help write specific government documents, answer questions about state processes, and so on, in the style and language used in the government.

Based on Nextcloud Hub, the State Chancellery will expand its current approach to providing artificial intelligence-based services at the workplace. Embedded in the state government’s AI strategy, Nextcloud and the State Chancellery will create a generative language model for the state administration that is adapted to the specifics of administrative texts. For this purpose, the state of Schleswig-Holstein will make anonymized training data available. The model will be available as Open Source.

Schleswig-Holstein and Nextcloud recognize that Europe needs reliable AI technology that protects Europe’s economic and digital sovereignty. Our strategic initiative will lead to the first digitally sovereign AI that can deliver insights based on sensitive government data, without the risk of third-party access.

The future

Do you have a colleague that takes over the whole call, leaving no one else the chance to speak? Our new talking time feature shows how long participants speak during a call. We enabled this so people can be conscious of their own talking time, while giving others the opportunity to speak more in calls. We hope this little piece of social engineering makes a difference in your next call!

That’s a wrap! Nextcloud Talk now provides a warning message once your meeting reaches 1 hour. In an effort to avoid endless meetings and have a cap on your calls, this feature may be particularly helpful in using your time more efficiently.

Less switching.. use the Smart Picker☝

When you need a piece of information or data, you often have to switch to another app or website. This not only takes time, but also energy. We have a solution: the Smart Picker lets you pull in information from various sources while staying in the app you’re working.

For example, if you’re in a call and want to remember a new task you’ve just been given, you can use the Smart Picker to create a new Deck card for you – right in the chat! You avoid switching to another app – in this case Deck – and remain focused in your current context. Or, you remember a nice YouTube video you want to share – use the Smart Picker! Share a ticket, link to a file or a chat room – we got you covered.

There introduce some new Smart Pickers in Hub 6, like the super cool Sketch Picker which lets you draw on an image or blank canvas. There are a few more new Smart Pickers – read on to find out which ones!

Notifications minimized

Notifications can really pull you out of focus. To be mindful about the attention of others, you can send a chat message ‘silently’ without causing notifications to others in a room, and you can even silently start a call which doesn’t ring everyone’s phone! Also, you can:

  • Set your status to Do-Not-Disturb mode. For example, you could put your status to “out for lunch” if you’re away from your desk. If you’re in a call, Nextcloud automatically updates your status so colleagues see you are busy.
  • Set your working hours and enable Do-Not-Disturb mode. This means you won’t get notifications while someone is active in a Talk conversation outside your preferred working hours or time zone.
  • Gifs are cool, but can be distracting. Hide gifs sent in a Talk chat message to create a clearer space.

Making life easier, saving you time – much of Nextcloud is designed to do that.

  • Click on someone’s avatar anywhere in Nextcloud – even in Files or Deck – to start a chat, send a mail and more.

  • Book a meeting with someone from their profile – you don’t even need to open Calendar.
  • Instead of asking your whole team a question in a chat, you could speed up the process (and limit extra notifications) by just starting a quick poll!

  • See when someone’s typing in a chat and a read status – to know a colleague is engaged or not as to avoid extra explanations.
  • If the conversation has too many people you can use break-out rooms to split up in smaller groups.

Artificial Intelligence is still quite ‘hot’. There’s hype, but also substance – there are a ton of ways in which AI features can help you get work done faster and easier. Nextcloud comes with tons of smaller and larger AI features, from a smart Mail inbox that shows you only relevant emails, to face recognition so you can find photos of a person across your entire collection.

But, AI also has issues. From its carbon footprint and issues with bias to data leaks and more existential risks, we totally get it when the term ‘AI’ doesn’t make you feel all warm and fuzzy!

For that reason, our approach to AI is built on flexibility, choice and especially transparency. Nextcloud Hub is the only self-hosted Content Collaboration Platform to provide AI features in an ethical and secure way!

Flexibility

Users have the flexibility to experiment with and try out our AI features, with a wide range of options. We offer self-hosted solutions like image generation with an on-premises StableDiffusion AI besides the integration of an external service from Dall-E. We offer self-trained voice recognition and translation services you can run on your own server as well as integrations from external services like DeepL for translations or ChatGPT for text generation.

Choice

The power rests in users to choose what type of AI features they want or choose to not use any at all. If at any point you decide you don’t want to use an AI feature anymore, you always have the option to uninstall it. By default, these functions are opt-in.

To provide full transparency, we have created the Ethical AI Rating which rates every AI feature based on the risk you take with your data and its ethical implications.

Tons of companies are introducing text generation features courtesy of “large language models”. Typically, they just send your data to OpenAI or another big tech firm. We did offer a similar integration, but you know that’s not our way. So, we made a promise. We said we’d work on providing you these abilities, WITHOUT data leaks. And, today, just 3 months later, we deliver.

And, as always, we didn’t just replace the feature we had, but we did one better!

The on-premise Nextcloud AI Assistant is here! You can now call upon your Nextcloud Assistant at anytime, anywhere to assist you with your tasks. And, because we believe this can be so helpful, we integrated it in a very powerful way in Nextcloud.

As a start, you have the Assistant everywhere, with the icon in the top-right, as you can see in the animation above.

Next, we integrated the Assistant specifically in a few places where it would be super helpful.

First, we integrated the Assistant in Nextcloud Text. Select some pagragraphs and have the Assistant summarize, generate a headline, re-word or translate it! Just click on the star ✨ icon on the right for a pop-up with all the options to get the results you want.

Do you have email threads that are way too long? We often find ourselves scrolling through them to find what someone said or refer back to something. With Nextcloud Assistant, you can now have your email thread summarized for you!

Of course you can also have text generated for you in Mail too, so you don’t need to come up with every subject line and content to send out.

And with all these, your AI can run locally meaning users can access the full power of large language models without having to worry about data leaks.

Assistant in Talk

Last but not least, the Nextcloud Assistant is coming to Talk! You’ll be able to ask it questions during your conversation(s), getting suggestions on content, headlines and more in a super easy way. This Talk bot should be available a few weeks from now.

Files is the core of Nextcloud Hub. It’s where you access and share your files all in one place. In this release, Files received improvements in two of its core functions: accessing and sharing.

Selecting files

Given Nextcloud Hub is a single platform that combines Talk, Office and Groupware functions in one interface, having everything you need all in one place makes it easy to achieve a cohesive workflow. Our new File Picker Selection Dialogue is the perfect example – in a chat, document or email you can easily select a file to share, insert, attach or link! The new file selection dialog has a quick filter on top, remembers your last sorting method, shows you recent files and favorites and is overall super easy to navigate.

In chat

In a chat, select ‘share from Nextcloud’ and a pop-up will appear with all your files. Easily share a file you’ve recently worked on or one you’ve favorited. The new dialog remembers sort order and the last file location making it so much more convenient to use.

Advanced file versioning

We’re constantly making edits to our documents and the more the edits, the more versions there are. Now, it’s easy to see older versions without having to download them: just click them and they load immediately. Even better, we made it possible to compare two versions with side-by side viewing. Notice the changes made in a snap, rename the version and don’t lose track of your file’s history again.

Simpler sharing

We always get a ton of feedback on Nextcloud. We got input from the millions of users at Magentacloud about our sharing dialog, and worked on improving the flow.

Now when you want to share a file, you enter the recipient’s name or email. Then, you set settings like a password and expiration date, or the note to the recipient – before you finally hit the share.

We also simplified the flow of sharing a public link. You can now set multiple options without having to re-open the menu.

What’s new in Nextcloud Tables?

Nextcloud Tables helps businesses and organizations manage their structured data. With Tables, you can manage your employees’ time off, customer data, health tracking and much more.

We developed Tables in response to requests from customers, especially in the Government sector, who were not happy that some prominent tech companies offering similar functionality are forcing their customers to the cloud. Many governments take digital sovereignty serious, and being completely dependent on the whims of some foreign cloud firm is of course not acceptable.

In this release, we’ve made key improvements to make it an even more powerful tool.

Tables

  • Selective viewing and filtering – Finally, Tables introduces a very powerful feature: views. You can create any number of views on a table, and share them with different people or groups with different access permissions. This way, for example, the employees can enter a vacation request and only see their own requests and their status, the manager can only see and approve requests from members of their team and HR has a full overview of all vacations.

  • 👤 HR personnel – Tracks vacation

The advanced filters make it possible for employees to only see the status of their own vacation request, while the HR manager has access to everything. That way, the information in the Table stays confidential while simultaneously having one space to manage all the separate processes.

  • Share a view with the Smart Picker – With the Smart Picker, you can now can insert an interactive table or a view of a table in a document.

The Smart Picker can be enabled with a slash (/) in a Talk chat, Text document, Deck card, Collective, Notes and more. Some apps like Mail and Nextcloud Office have a menu item or a button to insert content from the Smart Picker.

  • Link column type – From within Tables, it is also now possible to search for and link to any type of content supported in Nextcloud search. This list goes on – chat rooms and messages, calendars and calendar items, YouTube videos, GitHub tickets, locations, and much more.

In Nextcloud Text – which is the primary text support for Nextcloud Office, Deck, Collectives and some other apps – can now use Mermaid to produce simple, visually appealing and helpful diagrams with code!

There’s no better way to share an idea or workflow than in visual form with easily identifiable shapes, lines and text boxes.

Earlier this year, we introduced the Smart Picker – a tool to quickly insert content into a chat, document, task or email. New Smart Picker integrations regularly appear in our App Store and we wanted to highlight a few additions:

Nextcloud Groupware, consisting of Calendar, Mail, Contacts and Deck, is a completely integrated client and the cornerstone of productivity. In the Hub 6 release, we’ve focused on automation of tasks with other clients like Talk to facilitate seamless collaboration.

Calendar

For instance, in Calendar, we’ve improved the one-step process to set up a remote meeting. As you can watch in the video, simply create a meeting in Calendar and click ‘create a Talk room.’ Not only does this automatically create a Talk room with the same name from the Calendar meeting! We now also set the description, and the link to the Talk room will be in the Location and clickable in your Calendar. We also add the participants to the Talk room, so when the meeting starts, they will get a notification – if they hadn’t seen it from their calendar. In just one motion, you’ve created a Calendar event, invited the team and organized and set up a meeting location.

Simple and stress-free!

Mail

In Mail, we bring you more automation so you don’t have to think about the small things. For example, spam mail will be marked automatically and moved to the spam folder, so you don’t get distracted by junk mail. Also, old mail that you’ve already thrown away in the trash will be auto-deleted. Just set up how many days you’d prefer so unwanted mail will be out of sight and out of mind. It’s also easy to forget about your running storage quota, so we now offer a quota depletion warning so you can take care of it on time.

Are you ever in a meeting and need to note down a new task for later? With the new Deck Card Picker, you can create a new Deck card directly in Talk without ever leaving your conversation. Just type a slash (/) in the chat box to activate the Deck Card Picker and you’ll be able to make your card – and even select the board or list it’s in. This new feature is an excellent example of how Nextcloud as a single, integrated platform can make your work life so much more efficient.

For Developers: build apps in your favorite language!

We are happy to announce that all core apps are now fully documented with OpenAPI by OCS (Open Collaboration Services). With OCS, apps and integrations can be developed in other languages and are super stable. A great benefit of OpenAPI is that it can help you automatically generate code to help integrate the API into applications.

To make it even easier, we introduced the OCS Viewer app. With this app you can, in a super intuitive way, browse our API, try out a request with various parameters, and see the result or grab pieces of code that can request certain data or perform various operations against a Nextcloud server. For example, upload files, view a folder listing, create or modify a share, and so on. Just copy-paste in your app, whether you write in Python, Go or OCaml.

If you develop a server app and want YOUR app API to also be nicely documented through OpenAPI, we have good news: there’s a tutorial on our developer site now!

We also write 4 other, new tutorials, with tons of more advanced app development information, tips on debugging issues and much more.

But, there is more. Something much BIGGER!

No more “just PHP”!

For a long time, PHP has been the only language you can use to have direct access to the Nextcloud code and develop apps. While PHP certainly scales well, it isn’t for everyone. Everybody has their favorite language, and we thought it was time to bring you some good news: In Hub 6, we are excited to announce that developers can now write server apps in other languages other than PHP!

Yes, that means you can use pretty much any programming language you like! To kickstart development, we’ve built a Python library and two example apps using Python. But you can use any language you like, of course!

These new apps will be independent from the Nextcloud core, by interacting with the Nextcloud through the Open Collaboration Services API. This brings 4 benefits:

  • Having a clear separation between apps and the Nextcloud core clients avoids any issues in the core of Nextcloud. For example, if there’s a bug in a new app, it won’t cause any damage to the rest of Nextcloud.
  • As we maintain these API’s independently, we can commit to keeping them stable for many, many years!
  • It’s also easier to distribute compute. For example, you could create a separate node in the server network that runs Nextcloud with special hardware for heavy AI operations.
  • Lastly, we have control over what data apps have access to, ensuring the utmost security.

With this new ecosystem, we hope it makes developing for Nextcloud more accessible for everyone and empowers user choice. Whichever programming language you prefer, whether it be for accessibility, stability or security reasons, we hope this opens major doors for you and your future contributions to Nextcloud!

The bots are coming! 🤖

Bots are an excellent way to connect various services and make life easier. They can take information from a monitoring service, an issue tracker or other applications and allow users to interact in chat. In Nextcloud Talk, we now support bots using web hooks which opens the door for greater chat integrations between Nextcloud and other tools.

What bots do we have so far?

  • Call Summary bot – At the end of a Talk call, this bot will compile all tasks that were written in the chat by participants and make a call summary.

Note: Your Nextcloud caches the results coming from our updater server, so it can take a bit for the new version to show up and you likely have to refresh the page, wait a bit and do that again. Don’t forget to switch back to stable after you updated to Hub 6!

Our AI features are easy to use. Many work with our Smart Picker which is seamlessly integrated in all major apps. They’re accessible through the menu or by the click of a slash (/). And the best part: the AI features run on your server, not leaking any data to a third party! The new AI features are optional and can be installed from the app store. We updated and improved existing AI features and added some new ones. A quick list:

  • Smart Inbox in Mail and Related Resources
  • Face and object recognition in Nextcloud Photos
  • Background images in addition to background blurring in Nextcloud Talk
  • Image generation based on a prompt
  • Translation with Nextcloud Translate, integrated in Nextcloud Talk and Nextcloud Text to translate your chat messages and text documents
  • Nextcloud Dictation for voice recognition integrated across Nextcloud Hub
  • Call transcripts of recorded video calls

These integrations are running entirely on the Nextcloud server and are completely optional. We continue to develop on-premises alternatives for other AI features, with further updates expected later this year.

For those looking to use external, online AI services, you can install apps from our app store that offer optional translation through Deepl and ChatGPT, DALL-E for image generation and ChatGPT for text generation.

Over the last months, we’ve worked to add a series of improvements for teams that work together using Nextcloud. Many of you use Nextcloud as a digital workspace and this is exactly where we put our efforts.

Nextcloud Files is the best self-hosted file sync & share solution offering you access anytime, anywhere to your files, to be shared, synced, searched and managed by you.

Files is also the core of Nextcloud Hub, our integrated single platform solution which optimizes the flow of collaboration and puts you in control. In our last release, we introduced several new features like advanced versioning so you can identify and name older versions of a file, security improvements including File Drop with E2EE and much more. This release, we focused on online collaboration.

Managing a collaboration workspace

If you start a project at your university, municipality, business or charity, a first step is to assemble a team and create some space to work in. To help you do that, we put together two popular collaboration tools: Circles and Groupfolders. Let’s walk through this!

In Nextcloud, the project manager user would go to their Contacts and create a new Circle, a custom group. Next, they would add new members, write a description for the project and set permissions for instance, ‘members need to accept an invitation’ to be added to the Circle. The project manager then asks the admin to create a Groupfolder with some assigned storage space for their Circle.

So a Circle is a custom group. Any user can create them, adding members or handling permissions. They can be open, visible on the server – or invite-only. All without needing an admin.

A Groupfolder, as the name implies, is simply a folder owned by a group instead of an individual. It has its own storage quota and in Hub 5, group folders can be accessed from the side bar in Files and are easy to find in the mobile apps as well.

With a Groupfolder assigned to a Circle, you have your user-managed digital workspace!

Managing your digital workspace

We made a series of improvements to make it easier to find and manage your digital workspace. You might know you can put information on top – a great way to make sure everybody knows what to do, where and when. With the Smart Picker you can super easily link to other resources like Deck boards or your related knowledge base.

Related Resources

We’ve improved our Related Resources feature, making it easier to find other things shared with the same team. If you created a workspace as a Circle with a Groupfolder, you’ll find Deck boards, Talk rooms and other files and folders shared with the same Circle in the Related Resources section.

Tagging files – supercharged

If you love organization, then you’ll love our tagging feature. You can create and set tags to any file, which in Hub 5 show up in the normal Files view. Similar to how you can set tags in Nextcloud Deck, files can be organized by subject, project name etc. Tags are also available now on the mobile apps, easily visible and configurable!

Automate work with tags

Tags are more than just a handy tool to find your files. A while series of actions can be automated based on tags and other factors. Say, you want a chat message posted when a file in a specific folder is changed? You want to turn files with a certain tag to be turned into a PDF? Can be done!

Secure your data

There is one more thing where tags can help: protecting your files. You can use tags and other factors like who owns the file or where it is accessed from to create policies that result in limiting access to files when the access does not fit with the rules that are set. Or, instead of blocking access, you can enforce watermarks on documents.

As manually tagging files with sensitive data is error-prone, so we are introducing a way to automatically tag file based on their content: Files Classification. An administrator can define what sensitive data it should look for, say, credit card data or bank account details. And when found, a pre-defined tag gets set on the file.

Together, these features allow Nextcloud to be used in organizations that deal with security classifications like VS-NfD in Germany and similar ones in other countries.

Desktop client

The Desktop Client introduces automated file locking, where it will locally locks files that are open on the server to avoid editing conflicts. When the server app stops editing the file, it is unlocked again. There are also a lot of UI improvements, like the addition of some share settings (hide download, upload only and more) and a number of performance improvements.

File drop and sharing for End-to-end Encryption in all clients

These client improvements are all in addition to the recent introduction of support for sharing and file-drop that was added to our End-to-end Encryption. From all clients you can now share end-to-end encrypted files to others in your organization, and you can share a file-drop link to an end-to-end encrypted folder where eternal people can drop files that will be encrypted right away.

Tables adds advanced column handling and search

The push of big tech companies towards the cloud leaves many organizations stranded without a secure, on-premises solution for their internal and sensitive data. These developments around SharePoint in particular have caused Nextcloud customers and prospects to request some additional capabilities to facilitate migration. Nextcloud Tables is designed to empower users managing structured data, simplifying many processes in the organization.

The new release introduces a series of UI and feature improvements. Some include improved column selection and redesigned table and column dialogs, front-end sorting, filtering and search and the integration of rich text fields for comments. Advanced CSV and XLS import as well as API access to tables makes it easier to get data into Tables and manipulate it from other applications.

Outlook and Teams integrations

Together with our partner Sendent, we continue to work to improve the integration with Microsoft environments. Three big updates are coming:

  • a rewritten Outlook integration, bringing with it Mac OS and Outlook web interface support
  • A Exchange connector which can sync your calendars and contacts between Outlook and Nextcloud
  • Microsoft Teams integration, making it easy to share from Nextcloud in a Teams chat

Mentioning in a document

Let’s say you’re getting ready for an important product launch at your company. You’ve written up a meeting agenda for your team to inform all team members about the new product features, timeline, etc. You have a virtual meeting on Talk, and then afterward want to share the agenda notes with each team member in real-time, so you tag them in the document. Instead of opening up Mail to send each team member an email with the agenda notes in an attachment, you just notify them directly in the document. It saves time and hassle, and provokes stronger team collaboration.

Find and deep link

This release of Nextcloud Office comes with an easy way to browse large, complicated documents: a navigation sidebar. There you can see the structure based on the headings, but also objects like tables and images.

What if you want to save your colleagues the trouble of finding such a section in a document, even with the new navigation sidebar? Why not link directly to it! A new Smart Picker lets you link directly to such sections in an Office document and is super easy to use.

This release also introduces Dark Mode, and improved recently added features like the Zotero citations management. And as usual, many updates were made to improve performance and document compatibility.

Nextcloud Text with self-hosted translation feature

Nextcloud Text is an app that delivers simple writing functions for everyday use. Text is integrated within Nextcloud Deck cards, Collectives and Notes. In this release, there have been improvements in syncing robustness and performance. The most prominent new feature is Nextcloud Translate which allows on-the-fly translating of text within the editor without leaking data to a external service. Notes new design

In Hub 4, we announced we would ship Nextcloud Notes, the easy and nicely integrated Note taking app with Nextcloud. We also made the mobile apps freely available! For this release, Nextcloud Notes received a new three column layout and a note list that separates notes by the month they were created. It also has an improved settings dialogue.

Collectives

Collectives is the one-stop-shop for storing and organizing knowledge. For example, an HR team could create a company handbook storing dozens of pages about company policies like vacation and sick leave. Now, the HR team can attach documents too – which are accessible in the new side bar. Attachments can be viewed within Collectives, downloaded or shown within Nextcloud Files.

In addition, Collectives now supports server side encryption in its storage.

Nextcloud Groupware

Nextcloud Groupware consists of Mail, Calendar and Contacts

Nextcloud offers a completely integrated Groupware client, meaning you can work with Nextcloud Files, Talk and more products directly within Groupware. That’s because all applications in Nextcloud Hub work together to make your life easier and your workflow more efficient.

An example is how you can easily create a talk room when creating a calendar appointment. We now also bring this feature to appointments!

Booking a meeting with a colleague or external can be a pain. You can mail back and forth 5x until you got a date, but with Nextcloud Hub there is a better way. Calendar allows you to create an appointment link where others can book a meeting with you, directly in your calendar. You can see how easily others can then book a meeting with you in the short video below.

With this release, you can configure the Calendar to automatically create and include a Talk room link with each meeting.

System Address Book in Contacts

If your entire organization uses Nextcloud, you can now benefit from the system wide user address book. In the System Address Book, a contact is created for every user in your organization based on a users personal settings. This contact shows a users name, job title, email and more, plus new in Hub 5 – their manager. The contact is editable by sys admins (and the user if they have permissions), while it is read-only for all other users. If you would not like some users to see a contact, there are privacy settings to adjust this feature detailed here.

The System Address Book also automatically creates an organizational chart so especially if you are a larger company, it’s now much easier to find and learn more about your colleagues.

Holiday calendars

Do you have a colleague or team in another country?

Do you sometimes forget about upcoming holiday’s?

To best keep track of holiday’s around the world and be conscientious of your international team, you can now set up holiday calendars. The new feature supports hundreds of countries and seamlessly integrates into your calendar.

Enterprises need secure communication and both PGP and now also S/MIME encryption are supported in Nextcloud Mail. Big organizations also often use shared email folders and with this release, sending email in name of a colleague or team has become easy to configure. A series of further improvements was made:

  • minimize mail composer so users can look at other emails while working on one
  • one-click unsubscribe to newsletters
  • turn email into a Deck card or task (in addition to adding appointments and travel itineraries to the calendar)

Second, to make it even easier to use, we developed an OCS Viewer app which makes it easy to browse and even test out the Open Collaboration Services API Nextcloud supports for third-party application integration. In the app, you can choose an API endpoint, enter some test data and see what Nextcloud returns.

After a complaint filed by Nextcloud on behalf of a coalition of dozens of European cloud tech providers in November 2021, the German Bundeskartellamt (federal antitrust authorities) has now begun an official investigation into Microsoft to assess if the company has a dominant position in the market.

We welcome this development, as this is a first step towards investigating the anti-competitive behavior of Microsoft with regard to OneDrive bundling and other gatekeeping actions. Rapid developments in AI only serve to strengthen the need for oversight, as the Bundeskartellamt itself also points out.

Since the initial complaint to the European Commissions’ Directorate-General for Competition, Microsoft has continued to limit on the freedom of choice for consumers. Bundling of software with its operating system continues to expand, while on-premises solutions are eliminated, decreasing the control organisations have over their data. Microsofts’ influence on openAI has already resulted in a decrease in openness about AI research, coinciding with Microsoft firing its ethics team, increasing societal risks regarding artificial intelligence. While Nextcloud has responded to these developments, introducing a Microsoft SharePoint migration service to enable organisations to keep data on-premises, and introducing an Ethical AI solution with integration across its products, anti-competitive behavior limits access of customers to these services.

With even a well-known comedian like John Oliver addressing the challenges with big tech, there is growing awareness. But real action still has not been taken and the tech giants continue to push out the competition by all means available to them.

Dozens of European SMEs organisations support these efforts to push back against Big Tech and create a level playing field, supporting innovation and local (European) businesses. Privacy and compliance conscious government organizations won’t be forced in the cloud, settle on on-premises solution that protects independence.

Proprietary SaaS plaforms like Sharepoint and MS 365 have become major cash cows, and on-premises solutions get discontinued across the tech sector to force customers into vendor-locked clouds. Organizations dealing with critical or sensitive data respond by looking to maintain their strategic autonomy by deploying on premises solutions. In collaboration with a number of European government organizations, the market leader in the open source, on-premises collaboration space today announces the expansion of it’s offering to provide a full SharePoint replacement, complete with migration services. Showing the strong trend towards digital sovereignty, the announcement comes shortly after the highest EU Data Protection authority, the EDPS, announced they deploy and recommend Nextcloud.

We believe that development based on real world requirements and demand, rather than a strategy of forcing customers into a vendor lock-in, results in better products. Demand for an open, on-premises structured data platform as part of Nextcloud has been huge, and several customers have already signed up to deploy our technology.

The imminent end of SharePoint Server support has created a huge demand for solutions that offer similar functionality without compromising user control over data and meta data. The risks around data sovereignty and vendor lock-in is particularly pronounced for government agencies, many of which for reasons of autonomy, cost and compliance, tend to rely on on-premises tools for collaboration and document management.

A number of customers from the public sector has worked with Nextcloud to integrate a structured data management application into Nextcloud Hub. German state Schleswig-Holstein already announced their intention to replace SharePoint with Nextcloud in 2020 and since then several government organizations have already committed to the platform. Even more are providing feedback and information on their requirements with an eye to adopting Nextcloud as their on-premises SharePoint replacement.

Nextcloud’s initiative to offer a digitally sovereign, open-source alternative to Microsoft Sharepoint is to be welcomed. That’s why we work together with Nextcloud to optimize Nextcloud Tables.

Nextcloud Hub is well established as a collaboration platform, providing easy document collaboration and sharing for teams and work groups, as well as integrated knowledge management. The introduction of Tables rounds the platform out with management of structured data. It allows customers to build, manage and work with data structures, putting together easy ‘apps’ and connecting them to various other components in Nextcloud for automation.

Users will be able to create a table to track any other type of data that is relevant to their organization, such as expenses, projects or sales leads. The flexibility of Tables allows users to tailor the table to their specific needs.

The first release of Tables is available now on the Nextcloud app store.

The European Data Protection Supervisor is an independent organisation responsible for monitoring and ensuring EU institutions respect the right to privacy and data protection of citizens. A year ago, in a report on personal information management systems, the EDPS already mentioned Nextcloud as an example of a great solution to manage personal, privacy sensitive data in a responsible way.

Today we are proud to tell you that the EDPS have themselves deployed Nextcloud, and even more, are working with our partner TAS Cloud Services to make it available to all EU institutions! This means the EU now has a powerful, complete collaboration platform that is compliant with EU’s data protection laws and not just endorsed, but used and offered by the EU’s independent data protection supervisor. Let us quote the European Data Protection Supervisor himself, Mr. Wojciech Wiewiórowski:

Open Source Software offers data protection-friendly alternatives to commonly used large-scale cloud service providers that often imply the transfer of individuals’ personal data to non-EU countries. Solutions like this may therefore minimise reliance on monopoly providers and detrimental vendor lock-in. By negotiating a contract with an EU-based provider of cloud services, the EDPS is delivering on its commitments, as set out in its 2020-2024 Strategy, to support EUIs in leading by example to safeguard digital rights and process data responsibly.

As many of you know, many EU government organisations like in Sweden, France and Germany who are concerned with privacy and security, have been recommending and deploying Nextcloud for years. It is great to see the highest privacy compliance authority in the EU lead this effort now!

The EDPS has deployed Nextcloud to “share share files, send messages, make video calls, and allows collaborative drafting, in a secured cloud environment.” (emphasis in original quote). To enable the adoption of Nextcloud in the EU, the EDPS worked with us at Nextcloud and our great Partner TAS Cloud Services to improve the integration of Nextcloud with EU login, the European Commission’s user authentication service. The EDPS and TAS Cloud Services will offer other EU institutions, bodies and agencies the same solution as was deployed at EDPS.

That means any EU institute, from the court of justice to the parliament, can now easily have a secure, easy to use, and fully compliant communication and collaboration platform. There is no more need to risk data sovereignty by relying on non-EU cloud platforms!

Nextcloud offers the easiest way to achieve control and digital sovereignty over data and communication for organizations that deal with sensitive or business critical content. As an open source, on-premises collaboration platform it offers transparency and control no non-EU SaaS plaform can deliver. Quoting from the EDPS press release:

By procuring the Open Source Software from one single entity in the EU, the use of sub-processors is avoided. In doing so, the EDPS avoids data transfers to non-EU countries and allows for a more effective control over the processing of personal data.

As covered in Tech Crunch, next-gen collaboration is coming to global cloud computing service

Shadow is probably best known for their remote gaming PC platform described as “the only fully realized cloud gaming service out there” and “the definitive cloud gaming experience” by cloudwards. It boasted 100.000 gamers in 2020 and has extended its platform since being bought by OVHcloud founder Octave Klaba. Shadow is now announcing the immediate availability of the Nextcloud based Shadow Drive in all European countries where Shadow services operate. This includes France, UK, Belgium, Switzerland, Luxembourg, Germany, Netherlands, Austria, Italy, Sweden, and Denmark. Spain will launch on December 7th.

Shadow Drive will allow users to store their data while keeping it accessible from anywhere. Data will be accessible via its web interface and through Windows, macOS, Linux, Android, and iOS (still in Beta) applications.

Our ambition to liberate technology from its hardware limitations also passes through Shadow Drive, our cloud storage solution, with the help of our prestigious partner Nextcloud, a partnership for which I thank Frank. We are particularly excited about this joint European project

Initially soft launched this summer, Shadow Drive already counts nearly 25 000 users ahead of its general launch. The service will also be available on December 7th in Spain, and in 2023 in North America.

Shadow is free for up to 20 GB of storage. And by free, they do not mean freemium: “our users’ data will never be sold or used, and we will never integrate ads”, shares Shadow. A premium version of the service offers storage up to 2 TB.

Check the Downloads page for more details. As for all SHADOW services, it’s a non-binding offer, and it’s independent of any Shadow PC subscription.
